Random news is random: 

One of my nieces is getting married next May, which I'm happy for her but damn, gonna have to miss a friend's 70th b'day party.  (We may just go on from the wedding to visit after.)

I've been reading several excellent books, thanks to friends' recommendations and I highly recommend 1) Freya Marske's Last Binding Trilogy, 2) same author, Bodies of Magic, and 3) Antonia Hodgson's The Raven Scholar.

Writing-wise, I've got one story where the first draft is done and I have to figure out who to ask to beta it (Leverage/X-Men), and another that's very much 'how many crossovers can I fit in one fic?'  That last, I'm trying to have done for Halloween.  I started it for Spook Me last year, and as there's no Spook Me this year (the mod is taking care of their health, as they should), well, I'm trying. So far it's primarily Night In The Lonesome October/MCU with short appearances from:  Old Guard, Highlander the Series & movie, Leverage, Bond, and Buffy: tVS,  I'm quite sure I've missed at least one...
 
But the flu shot flattened me, and migraine season (i.e., weather shifts, feh) is not going well at the moment, so we shall see. Plus, my Covid boost is Friday and then I've had all my shots for the year.  Thank goodness,  Shingles shots sucked, but they beat getting shingles.

But I'm back to doing weights twice a week and need to start adding HIIT work, too.  

Speaking of books:  if you were born with a uterus, I highly recommend one or both of these books by Stacy Sims (PhD):  Roar (if you're pre-menopausal), Next Level (if you're heading that way or have gotten through menopause).  And now off to lift weights, so I can come back and finish signing up for HLH Shortcuts.  This is the last year before we get the Cavill movie, so...

We are pleased to publish the OTW’s 2025 Annual Report, available on the OTW website: 2025 OTW Annual Report. The report provides a letter from our Board of Directors, a summary of our activities during the past year, and our financial statements for 2025. Some highlights from 2025 include Tag Wrangling canonizing almost 400 new “No Fandom” tags, Transformative Works and Cultures being added to the U.S. Library of Congress, and the creation of the Organizational Culture Roadmap Workgroup—the first formal workgroup since the Content Policy workgroup was converted to a Legal subcommittee in 2017.

Every month or so the OTW will be doing a Q&A with one of its volunteers about their experiences in the organization. The posts express each volunteer’s personal views and do not necessarily reflect the views of the OTW or constitute OTW policy. Today’s post is with Amy2, who volunteers on the Development & Membership committee as a Chair and Premiums Specialist.

How does what you do as a volunteer fit into what the OTW does?

I’m Co-Chair of Development & Membership (DevMem), which is the committee that makes sure the OTW has enough money to run all of its projects. Primarily we do this through the membership drives in April and October.

I’m also our Premiums Specialist, which means I order and then ship out most of our donation gifts; either by sending them to the donor directly, or by relaying them in batches through our Midshipmen (regional volunteers who are able to mail gifts out locally, saving us a lot of money in international postage). Last Drive, about a quarter of all individual donations came with a gift request, and about 2/3rds of the total amount donated was put towards a gift!

What is a typical week like for you as a volunteer?

It depends on the time of year! DevMem’s weekly tasks are things like keeping an eye on our inbox (we take turns signing up for shifts), answering donor questions, making sure our donor database is doing what we want it to do, and keeping the donation form and FAQs updated.

My regular weekly mission is to reach out to people who have hit the goal they set for their recurring donation gift. For those who aren’t familiar, when you sign up to make a monthly recurring donation, you can request that we send you a gift when you reach a certain total. For example, if you set up a $25 monthly donation and request a mug, we will send one to you in ten months when you hit $250. Because it can be a long time before you reach your goal—shout out to the person who finally got the discontinued tumbler we’d been saving for them, after donating $10/year for 8 years!—we send out an email first asking recipients to confirm their current addresses. Sometimes I have to email multiple times to get a response. We have a Naughty List of people who have ignored the first six messages or so, and we email blast that one every few months as well. Once a month, a Membership Data Specialist pulls the list of people who requested donation gifts the previous month, and I get those sent out. It ranges from a few dozen to a few thousand items, depending on how recent Drive was. My typical weeks after Drive are spent packaging gifts, listening to audiobooks, and, sometimes, leaving candy out for my local postal workers so they don’t hate me.

I also track the returned gifts, and a small and wonderful team of DevMem volunteers reaches out to donors to get updated information so that we can resend them. (In case any readers need to hear this, a lot of times the post office will not deliver to your pen name. Please be sure you can receive mail under the name you give us, or else it comes back with an “I don’t know them” sticker on it and we have to use your donation to pay shipping twice.)

I am very motivated to do this because the returns live on my desk, otherwise I will forget about them. And when someone requests a recurring donation gift, we put it in a literal bin of non-infinite space called “the Hope Chest” which is, at the time of writing, on my literal floor with a dozen of its friends. (The other bins have names such as “McShip,” “The Novak”, and “Party Rock Anthem”. Five points if you can guess what’s in them.)

What made you decide to volunteer?

I joined DevMem in 2018 as a graphic designer, because I liked art and fanfiction and thought it sounded like fun. Graphics is still one of my roles (the playing cards and butterfly pin are my babies) though I’m thrilled that DevMem has had an actual four-person design team the last couple years–October’s sticker set is a collaboration between them! I became a Membership Data Specialist not too long after joining because tributes were needed and I thought knowing how CRMs work might be useful.

I took on the Co-Chair and shipping roles a couple years back, when the person who had held both roles for the last 10 years(!) retired. Her name is also Amy, so I seemed like the most reasonable choice to maintain continuity with our vendors. (I kid: my real qualification was being a Data Specialist with access to a shed.)

Also, in the interests of honesty…I was delighted to have the chance to answer the question “what work do you do for AO3?” with “I’m in charge of shipping.”

What has been your biggest challenge doing work for the OTW?

Other people have said really insightful things on other 5 Things posts, so I’m going to go with an extremely silly challenge that I’m pretty sure is unique to me as an OTW problem: I have, in my Shipping career, acquired two free disassembled sheds of questionable integrity that did not come with instructions. Some very tolerant loved ones (who were as uninterested in sharing our living space with bulk orders of OTW merch as I was) spent many hours helping me assemble them, using a combination of our wits and online manuals for similar-but-not-identical sheds. I am not an engineer, a carpenter, or even particularly good at puzzles. I did not think signing up to make Drive banners in 2018 would lead to climbing a tree in 2024 to install a tarp, having given up on keeping the shed’s original roof.

What fannish things do you like to do?

Mostly at this point I do fanbinding. I manage to actually write about one fic a year. But really what I do is put AO3 pins in padded envelopes when I should be working, typeset fics to bind when I should be putting AO3 pins in padded envelopes, and read fanfiction on my phone when I should be sleeping.

Fanlore Social Media and Outreach Volunteer

Do you have an interest in fandom history or in fannish culture and the different tropes, ships, communities and viewpoints that make up fandom? Are you interested in social media, community management or outreach? The Fanlore committee is recruiting for Social Media & Outreach volunteers!

Fanlore Social Media & Outreach volunteers are responsible for writing and editing Fanlore’s promotional posts on social media, planning and running Fanlore’s editing challenges, maintaining Fanlore’s social media channels, and thinking of ways to reach out to and engage with new corners of fandom.

No extensive experience required—only reliability, teamwork, good communication skills, and an interest in fandom and Fanlore in particular. Join us!

As part of our application process, candidates who pass the initial review will also be asked to create a sample social media post for Fanlore consisting of a 280-character tweet and a 100-word Tumblr post promoting a Fanlore article. Further directions will be given upon applying.

Strategic Planning Volunteer

The Strategic Planning Committee is recruiting for new volunteers! We are a collaborative committee of 6-9 people who are tasked with researching, developing, and supporting the implementation of the OTW’s strategic plan, which is a written document that articulates the OTW’s priorities and direction. The process to establish priorities involves many people across the organization and is an important part of aligning the organization around shared goals; monitoring implementation also provides accountability to the organization’s mission and our user community.

We are wrapping up the 2023-2026 Strategic Plan and planning the next one, so both goal tracking skills and goal-setting skills would be helpful to us. We are looking for organized people well-versed in communication and project management, with experience in goal setting, goal management and adjusting based on feedback. Knowledge of data analysis and understanding how to complete research are helpful as well, as is experience using various project management tools, document collaboration software and text-based messaging platforms. We typically review around 20-30 applications, induct 2-3 new volunteers and provide training on the committee’s tools and processes. We welcome all perspectives and are actively interested in people with diverse views on fandom and the OTW! The Strategic Planning Committee is committed to diversity, equity, and inclusion, and will make reasonable accommodations for candidates who may require them.

Organizational Culture Roadmap Volunteer

Want to help shape the future of the OTW in a flexible, collaborative role? Enjoy completing research and brainstorming solutions to problems?

Organizational Culture Roadmap (OCR) Volunteers support the implementation of OTW Organizational Culture Roadmap goals by assisting with planning, documentation, and team coordination. Whether you prefer jumping into projects, offering behind-the-scenes support, or helping teams stay on track, there’s space to contribute in a way that works for you.

This role is great for those with clear communication skills who enjoy collaborative work. Time commitment is 1–5 hours per week. As an OCR Volunteer, you’ll play a key role in ensuring smooth operations by:

• Writing and editing OCR project plans, goal documentation, statements, surveys, replies to public questions, policies, minutes, and reports
• Assisting in the research, development, management, and delivery of internal projects
• Working as part of a team to support specific goals to reaching completion

We’re looking for volunteers who are proactive, driven, and committed to the OTW’s long-term success.

You must be 18+ in order to apply for this role. In addition to the initial application, you will be required to complete an assessment to help us understand how well you understand and can complete the committee’s tasks. This will be emailed to you after you complete the application form.

Policy & Abuse Volunteer

The Policy & Abuse committee (PAC) is responsible for addressing questions and concerns about potential violations of the AO3 Terms of Service. We determine whether reports are about legitimate violations of the Terms of Service, and what to do about them if they are. PAC volunteers correspond directly with AO3 users and collaborate on projects both within PAC and with other OTW committees.

Our main goals as a committee are:

• to adhere to the AO3 Terms of Service
• to make our reasoning and processes as clear and transparent as possible
• to handle all user reports consistently, no matter which volunteer is doing the work
• to keep every case we work on completely confidential

We are seeking people who can:

• Commit to working on cases regularly
• Be patient with rephrasing explanations
• Ask for help when needed
• Collaborate both inside the team and with other committees
• Act in accordance with established rules, policies, and procedures
• Treat confidentiality and user privacy as a priority

You must be 18+ in order to apply for this role. While English proficiency is required, we welcome applicants who are fluent in other languages, especially Brazilian Portuguese (Português brasileiro), Chinese (中文), French (Français), Indonesian (Bahasa Indonesia), Japanese (日本語), Polish (Polski), Russian (Русский), Spanish (Español), Turkish (Türkçe), or Ukrainian (Українська).

It's only been... okay, I don't want to think how long.

We are preparing to take the beta update page and the beta inbox out of beta with the next code release. We don't have an exact date yet, but this is your last chance to tell us about problems!

To enable the beta versions: go to Beta Features and enable the "new Create Entries" beta test for the new update page and the "New Inbox Page" for the, well, new inbox page.

If this is your first time using the beta update page: nearly everything on it can be adjusted, moved, or removed to some degree. The upper right side of the update form has a " ⚙️ Rearrange Panels" link.

Not every panel is enabled by default! If you don't see something you're used to finding, look in the disabled panels. While in Rearrange mode, you can enable or disable panels, drag them to whatever position you want, and generally customize it to your heart's content.

Once we push the button and switch to the new update and inbox pages for everyone, we cannot keep the old ones available. We are so close to finishing the decade-long "get rid of the undocumented custom templating language from 1996 that no one else uses" modernization project that's been sapping our collective will to live that we can taste it, and we can't convert the old update page and the updated inbox page is the converted version. This is your last chance to alert us of problems. If you let us know after the switch goes live, we'll still fix it, but we can't guarantee how fast. Prevent future problems and test drive them now!

I. OTW’S 19TH ANNIVERSARY

On September 5, we celebrated the OTW’s 19th anniversary! \o/ Our announcement spotlighted where you can find us, such as the OTW’s social media accounts and additional news outlets. We also challenged fans to participate in an anniversary drabble challenge.

On Fanlore, fans collected special teddy bear-themed badges while completing the site’s annual Stub September challenge, including special OTW-themed editions for the OTW’s anniversary.

For October, Fanlore is celebrating conventions with Contober! They’ll be highlighting terminology, activities, and events related to conventions, and would love fans’ help expanding convention pages on Fanlore. Check out Fanlore’s conventions category or follow along on social media for themed posts all month long.

II. ARCHIVE OF OUR OWN

In September, Accessibility, Design, & Technology deployed version 1.7.0 and 1.8.0, alongside ongoing coding and reviewing work.

Open Doors finished multiple imports in September—thank you to both Open Doors volunteers and external moderators for their work this month!

They also announced the import of Cardie-ologist & Henrietta Wotton’s memorial archives.

In August, Policy & Abuse received 6,464 tickets. Support received 4,795 tickets, partially due to a continued increase in account recovery-related tickets as explained in last month’s newsletter.
User Response Translation completed 99 requests from Policy & Abuse and Support, and Tag Wrangling wrangled approximately over 658,000 tags, or around 1,500 tags per volunteer. They also announced 14 new canonicals in their September news post.

III. ELSEWHERE AT THE OTW

On September 15, TWC published No. 49 of Transformative Works and Cultures, their general issue, containing eleven full essays, eight Symposium essays, and three book reviews.

Translation completed their latest round of recruitment, with Basque re-joining their list of languages.

Legal has responded to several fan queries about law and fandom, and is carefully watching legal proposals in the U.S. and around the world.

IV. GOVERNANCE

Board has been preparing for their new term beginning October 1, welcoming new directors Jennifer Howard, Rebecca C Moritz, and Theodore Bloyd, and saying farewell to departing directors Anh Pham and Qiao Chu. Board Assistants Team has been supporting them with turnover, creating additional training documentation, and preparing for the October Board meeting.

Organizational Culture Roadmap has been collaborating with Communications to prepare a future news post series and working with ICCR to finalize procedures to handle compromised volunteer accounts and other situations that necessitate urgent access removal.

Strategic Planning has been wrapping up the 2023-2026 strategic plan overview by finalizing progress updates on goals and making notes for the next strategic plan.

V. OUR VOLUNTEERS

Volunteers & Recruiting conducted recruitment for five committees: Accessibility, Design, & Technology; AO3 Documentation; Communications; Open Doors; User Response Translation; and Volunteers & Recruiting. They also completed an internal audit of their internal volunteer induction and removal procedures.

From August 23 to September 16, Volunteers & Recruiting received 239 new requests, and completed 280, leaving them with 53 open requests (including induction and removal tasks listed below). As of September 16, 2026, the OTW has 1,106 volunteers. \o/ Recent personnel movements are listed below.

I had to push some code live today to fix something, and that brought with it a couple of new things like if you have two-factor authentication (2FA/MFA) enabled, you got automatically logged out and it is now required to log in. If you don't, you can set it up if you want (you don't have to.)

This also means that if you have 2FA enabled, you will not be able to use 3P clients using your username and password anymore. You should be able to use API keys in most cases, but there's some nuance to that (and tbh, I just am not precisely sure what clients anybody even uses.)

Back in April, we announced that AO3 was exiting the open beta phase, a step mostly marked by the removal of the little ^beta note in the site header. In July, we followed this up with an official switch from 0.9.xxx release numbers to the big 1.0!

The addition of filters to user Collections pages was a highlight of our July releases, which also included a variety of bug fixes, security updates, and other enhancements. Among those changes were small updates to various site policies to make cross-referencing easier, a Rails update, and a fix for an issue that caused blank word counts when posting from the Edit Tags page.

Our first release for major version 1, deployed on July 10, contained a lot of small updates to various site policies, as well as a few bug fixes.

• [AO3-3754] – The flash message that appears when you edit and preview a draft work or an existing chapter would linger at the top of the page even if you left the work preview. That’s fixed now!
• [AO3-7448] – The section of the Privacy Policy discussing data requests now has a link to the Terms of Service FAQ section explaining how to make one.
• [AO3-7449], [AO3-7452], [AO3-7509], [AO3-7510] – Updated an anchor name and added a few links to our Content Policy, connecting it with relevant questions in our Terms of Service FAQ.

• [AO3-5670] – We made sure users can only submit one group of nominations for a given tag set.
• [AO3-6671] – We fixed the error 500 that occurred when adding a host parameter to FAQ URLs.
• [AO3-7530] – We fixed an issue that made it possible to use the content property in skins to include CSS that would normally be stripped out by our sanitizer.
• [AO3-7143] – Users’ personal Collections pages can now be filtered just like the main Collections index!
• [AO3-7241] – We prepared the help files explaining the various kinds of tags on AO3 for translation.
• [AO3-7325] – When a page containing a bookmark is reported to Policy & Abuse, we now make sure the bookmarked work isn’t attached to the ticket.
• [AO3-7425] – If you followed the “Edit Tags” link on a draft and posted the work from there, the word count would be empty. We have now addressed this fascinating edge case and made sure the word count is displayed.

• [AO3-7513] – We bumped our version of the nokogiri gem from 1.19.3 to 1.19.4 to address some security vulnerabilities.
